8. Our technology providers
Talk Immigration Ltd operates primarily as a digital and remote professional service.
At present, we use:
Microsoft 365 for business email and related business productivity services; and
Hostinger for our website and website-related services.
Other secure systems may be introduced for client relationship management, appointment booking, payment processing, document storage or case management.
Where we introduce a new provider that materially affects how your personal information is processed, this Privacy Policy will be updated where appropriate.
9. Payments and client money
Where you pay professional fees to Talk Immigration Ltd, we will retain appropriate records of invoices and transactions.
We do not need to retain full payment-card details where payments are processed through an external payment provider.
Where possible, Home Office fees and other third-party charges should be paid directly by the client to the relevant third party. Where Talk Immigration Ltd holds money belonging to a client, it will be managed in accordance with the applicable IAA client-money requirements.
10. How long we keep your information
We retain personal information only for as long as necessary for the purposes for which it was collected and to comply with our legal, regulatory, professional and insurance obligations.
Client files and records are retained for at least six years after the relevant matter has concluded.
After that period, files and associated electronic data should normally be securely deleted or destroyed unless there is a documented reason for longer retention.
Other records may be retained for shorter or longer periods where required by law, taxation, accounting, insurance, complaints handling or another legitimate regulatory requirement.
Information that is no longer required will be securely deleted, destroyed or anonymised as appropriate.

We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss, alteration, disclosure or misuse.
